How to Create a Professional Invoice in 5 Minutes

A clear invoice helps you get paid faster. It also makes you look professional, even if you are a one-person business. Here is what to include and how to set it up quickly.
What every invoice needs
- The word “Invoice” and a unique invoice number
- Your details: name or business name, address, email
- Your client’s details
- The date you issued it and the due date
- A list of items: description, quantity, price
- Tax and discount, if any, and the total
- How to pay: bank details or a PayPal link
Set clear payment terms
Write the due date plainly, for example “Due within 7 days”. If you charge late fees, say so on the invoice. Most late payments happen because the client was not sure when or how to pay.
Number your invoices
Use a simple running number, like INV-1001, INV-1002. It keeps your records tidy and helps with tax time.
Send it the same day
The sooner you send an invoice after the work is done, the sooner it is paid. Send it as a PDF, or send a link to an online invoice with a pay button.
